Understanding the Rules: Our Terms and Conditions Explained

ACCEPTANCE OF TERMS

The Terms and Conditions (“T&Cs”, “Terms of Use”) of this document are a legal Agreement between you, as an Agent (“Member”, “User” “You”) and Professional Travel Ltd (“PRO Traveling ”, “Hotelaat+ ”, “we”, “our”, “us”), the owner of www.hotelaat+.com (“hotelaat+”, “website”, “portal”). PRO Traveling, through its website, is a travel agency that provides various travel and tourism-related services (Services).
You accept these terms and conditions in full by using our website or signing up for an account. If you disagree with all or any part of these terms and conditions, you must not use our website.
Our website uses cookies. By using our website and agreeing to these terms and conditions, you consent to the use of cookies in accordance with the terms of our privacy policy.
The services that PRO traveling provide to the User are subject to the following Terms and Conditions (T&Cs) and the whole content of this agreement.
User is responsible for all User’s Account (under any screen name or Password) and for ensuring that all use of User’s Account complies fully with the provision of this Agreement.
The user shall be responsible for protecting the confidentiality of the User’s password(s). Thus, the user is responsible for keeping the account name and password confidential.
User is also responsible for any account that they have access to and any activity occurring in such an account. Users will immediately notify us of any unauthorized access or use of their accounts. We are not responsible for any losses due to stolen or hacked passwords caused by or as a result of negligence. If PRO Traveling incurred any damage due to this negligence, the User will be liable to compensate PRO Traveling accordingly.

PRO Traveling does not have access to your current password, and for security reasons, we may only provide you with instructions on how to reset your password.
PRO Traveling has the right to update any of your contact information on your account for billing and other purposes to be able to deliver its services to you. In addition, you represent and warrant that all information you provide to us when you create an account, access, and use our services will remain complete and accurate.
PRO Traveling shall have the right at any time to change or discontinue any aspect or feature of its portal ( hotelaat.com ).
You are recommended to review our Terms & Conditions frequently and/or whenever you wish to use our website & services. The most current and updated version of the T&Cs can be reviewed by clicking on the “Terms and Conditions” hypertext link located at the bottom of our portal/website.
Privacy Policy: Your information will be treated in accordance with Hotelaat+’s Privacy Policy, which is incorporated by reference into this Agreement.

CHANGES IN TERMS AND CONDITIONS

Hotelaat+ shall have the right to change, modify and update these terms and conditions at any time without any notice. Changes will be effective as soon as they are published on the Hotelaat+ website. It is up to the User to check for changes in the Terms and Conditions.

DESCRIPTION OF SERVICES

www.hotelaat+.com is an online Travel and Tourism related portal dedicated to providing quality services to its partners/clients, such as hotel accommodation and tour/holiday packages.
The services, including any updates, enhancements, and new features, are subject to the T&Cs.

HOTEL AND OTHER ACCOMMODATION TYPE BOOKINGS:

Online Booking/Reservation
All bookings/reservations must be made online. When a Member/Agent of the Hotelaat+ has completed the booking online, it is their responsibility to check and make sure all the reservation details (such as hotel address, hotel info, city, and country details) on the pre-paid accommodation voucher are correct. Once the reservations/requests are confirmed, all Hotelaat+ policies for example but not limited to cancellation, amendment, no-show policies, payment, and refund/ discount policies will be applicable to all Users and the Members/Agents that are using the Hotelaat+ System.
You agree that the Passenger nationality declaration is mandatory and must be determined by selecting “Client Nationality” at the time of booking. This information must be by the Passenger’s passport. False declaration of Passenger nationality may cause consequences for which we cannot be held liable. If the Agent does not change the Client’s Nationality, then the Agent’s nationality will be taken as the Passenger’s nationality by default. If any financial damage occurs due to a false nationality declaration, the Agent will be liable for all costs incurred.

NAMES OF PERSONS TRAVELING

The names of the people who are traveling must be entered correctly by the agents. The first name should be followed by the Family name and any abbreviations or signs entered as the guest’s name may cause the rejection of the booking by the hotel.

ROOM TYPES

Hotelaat+ Agents are responsible for making sure the room type corresponds with the number of people making the booking. If an error is made by a Hotelaat+ agent, then the hotel has the right to refuse the room booking and will not be liable for any refunds.

SPECIAL REQUESTS

It is always guaranteed that the room provided by the hotel will accommodate the number of Customers (s) booked. Specific room types, smoking preferences, and bedding types for double/twin rooms cannot be guaranteed and are subject to availability at the time of check-in. Please advise us of any special requests prior to making your booking. Where possible, we endeavor to meet or arrange any such request. Confirmation that a special request has been noted or passed on is not a confirmation that the request will be met. All special requests are subject to availability and must be in writing, no requests will be accepted over the phone.

LATE CHECK-IN

If a customer is expected to arrive later than the regular check-in time of the hotel, either the customer or Agent should inform the hotel about the late arrival beforehand. Failing to inform the hotel of a late arrival can result in the space/room (s) being released.

EARLY CHECKOUT

Early checkout-related refund demands should be accompanied by the hotel-issued early checkout permission in writing. Refunds may be claimed if and when our partner hotel does not invoice Hotelaat+. However, the early checkout permission itself does not guarantee any refund. PRO Traveling will not be liable for any refunds or extra fees if early checkout is at the customer’s own will

HOTEL CATEGORIES / LOCAL CLASSIFICATION AND STAR (*) RATINGS

A Star rating is a general overview of the hotel regarding the approximate level of facilities, services, and amenities available. However, this rating might be different from one country to another. For example, a 5* Kuala Lumpur hotel is not the same as a 5* Paris hotel. Hotelaat+ does not take responsibility for the hotel categories and star (*) ratings since these have been provided to us and we accept and offer them as they are.

Currency exchange rates are based on any related market fluctuations. Hotelaat+ shall have the right to update room rates on the website considering market fluctuations.
Rates might change to reflect exchange rate fluctuations until the booking is fully paid, for bookings made in currencies other than EUR, or USD. Once the booking is fully paid, there will be no more changes. You will be required to pay the full amount at the time of booking. We do not make any charges for payments by debit card, however, payments made by credit cards might be subject to a handling fee.

PAYMENT AND RATES

Not all of the hotel rates displayed on the Hotelaat+ website apply to the local market. In addition, some other markets may be affected, in such cases, the hotel is within its rights to change the rates without prior notice.

RESORT FEES

Some Hotels in particular countries charge a “resort fee” typically between $10 to $20 per night and per room and are directly paid to the hotel. This is regulated and implemented by related law by the concerned government and Hotelaat+ has no control over these charges.

ADDITIONAL & INCIDENTAL CHARGES

The fees displayed on the Hotelaat+ website may not include any additional charges that hotels apply for some specific services for example, but not limited to air conditioning, safe box, mini bar, TV rental, luggage storage, sauna, spa, swimming pool, car parking, etc and have to be paid by the customer when the customer uses them.
Also, some hotels may hold special events during festive times for example, but not limited to Christmas, and New Year and guests must pay a compulsory charge for participating in these events. Hotelaat+ may not always be informed about such events and cannot be responsible for the additional charges by the hotels.

CANCELLATIONS & AMENDMENTS

We prefer that all cancellations and amendments are made on the Hotelaat+ website. Alternatively, you can contact the Hotelaat+ Reservation Team via e-mail or through the Hotelaat+ system before the cancellation deadline for that specific booking/hotel. We do not accept cancellations or amendments over the telephone.
Hotelaat+ will not take any responsibility for any changes and cancellations made directly with the hotel.

All requests for cancellations that are not made in a proper time frame are subject to a cancellation fee determined by Hotelaat+. PRO Traveling may need to make changes to or correct errors in advertised and confirmed details. PRO Traveling may also cancel confirmed bookings, which we reserve the right to do so. We will notify you of the cancellation as soon as possible and refund you accordingly or offer you a booking equivalent to the original booking.

No compensation will be payable and the above option will not be available if we cancel as a result of your failure to comply with any requirement of these booking conditions entitling us to cancel the booking.

SPLIT AMENDMENT

Hotelaat+ system does not allow making split changes for multiple room bookings in case of a split amendment. If the cancellation and amendment policy is foreseen to be changeable, please make a new reservation for split room/s and inform Hotelaat+ Support Team to try to serve as per your request.

DUPLICATE BOOKINGS

Hotelaat+ never guarantees a confirmation of duplicate booking. You need to amend one of the reservations according to voucher conditions. If the hotel rejects to confirm duplicate bookings the agency shall take responsibility.

RELOCATION OF YOUR CLIENTS

The hotelier or provider takes the responsibility of finding you a similar standard alternate accommodation in case the hotel is booked or overbooked, closed, has maintenance problems, and/ or cannot provide the rooms booked. If we receive any notice beforehand Hotelaat+ will inform you by e-mail.
Hotelaat+ will try to provide an alternative in the desired area, but the situation may change according to the city and season.
Hotelaat+ accepts no liability for any losses or costs that might occur as a result of re-location as this is completely beyond Our (Hotelaat+) control.

COMPLAINTS

Hotelaat+ must be notified in case there is any issue or complaint that cannot be resolved at the hotel. You can use one of these ways to complain:
1- Log into your Hotelaat+ system and select the booking you want to complain about, then send us a message through the system explaining the issue.
2-Send us an email and include the booking ID.
Hotelaat+ must be notified within 15 days after the checkout date. A copy of the complaint must also be submitted too and signed by the hotel manager.
Hotelaat+ will forward the complaints to the relevant party. Our team tries its best to reply to the complaints in a short period that may vary between 5 (five) to 20 (twenty) business days.
PRO Traveling will not be responsible for the passport and visa requirements of the country you are traveling to.

USER CONDUCT

Hotelaat+ portal contains copyrighted material, trademarks, and any other business proprietary information, including text, software, photos, videos, graphics, and the entire content of www.hotelaat+.com which are copyrighted as collective work and property of PRO Traveling.
Users may not modify, publish, transmit, participate in the transfer or sale, or in any way exploit any of the content, in whole or in part.

MEMBER ACCOUNT, PASSWORD, AND SECURITY

Users must complete the registration process for Login by providing current, complete, and accurate information as prompted by the applicable registration form. Users also will choose a password and a username and protect them. The user is entirely responsible for maintaining the confidentiality of the User’s password and account. Furthermore, the User is entirely responsible for any and all activities that occur under User’s account.
User agrees to notify us immediately of any unauthorized use of User’s account or any other security breach. PRO Traveling will not be liable for any loss that User may incur as a result of someone else using User’s password or account, either with or without User’s knowledge. However, the User could be held liable for losses incurred by PRO Traveling or another party due to someone else using User’s account or password to harm our portal. Users may not use anyone else’s account at any time without the permission of the account holder.

LIMITATIONS OF LIABILITIES

As a result of using our website (s)/portal (s) and its application/features, we will not be liable to you in respect of any:

Losses arising out of any event or events beyond our reasonable control;
Loss of or damage to profits, income, revenue, or anticipated savings;
Loss of management time or office time;
Loss of business, contracts, commercial opportunities, or goodwill;
Loss or corruption of any data, database, or software;
Special, indirect, or consequential loss or damage;
Any losses arising out of any acts or omissions of any hosting services provider, payment services provider, or other third-party services provider;
Business losses or damage of any nature.
Our website: The information contained on our website and in our advertising, the material is believed to be correct to the best of our knowledge at the time of publication. However, errors may occur and are subject to change. You are responsible for checking all details at the time of your booking.

WEBSITE AVAILABILITY

From time to time, the website or features of the website will be unavailable. Such unavailability may result from defects in the website software, scheduled or emergency maintenance procedures, or failures of third-party service providers.
We do not commit to ensuring that the website will be available at any particular time.
Furthermore, we do not commit to ensuring that the website will continue to be published in the future.

INDEMNITY

You hereby indemnify us and undertake to keep us indemnified against any losses, damages, costs, liabilities, and expenses (including without limitation legal expenses and any amounts paid by us to a third party in settlement of a claim or dispute) incurred or suffered by us arising out of any breach by you of any provision of these terms and conditions, or arising out of any claim that you have breached any provision of these terms and conditions.

SEVERABILITY

If it turns out that a section of these Terms isn’t enforceable according to the law, then that section will be removed or edited/altered as little as required to provide correct legal meaning, and the rest of the Agreement will still be valid.

FORCE MAJEURE- DISCLAIMER OF WARRANTY; LIMITATION OF LIABILITY

Neither PRO Traveling nor the Agent will be responsible/liable for any failure or delay in performance and/or delivery of their services, or any loss, injury, or inability of a passenger to perform the Voyage due to circumstances beyond its reasonable control, including without limitation war, riot, embargoes, strikes/demonstrations, hijackings, acts of civil or military authorities, the act of terrorism, fire, floods, accidents, volcanic eruptions or other natural conditions of the earth or weather which make it or impossible for the passenger to travel to the final destination.

ENTIRE AGREEMENT

If any provision of these terms and conditions is or becomes invalid, unenforceable, or non-binding, you (The Agent) shall remain bound by all other provisions hereof. In such event, invalid provisions shall nonetheless be enforced to the fullest extent permitted by applicable law, and You (The Agent) will at least agree to accept a similar effect as the invalid, unenforceable, or non-binding provision, given the contents and purpose of these terms and conditions.

IMPORTANT

When You complete the booking online, you must check and make sure all the details on the pre-paid accommodation voucher (such as hotel address, hotel info, and city and country details) are correct. In failure to do so, the User will be liable for paying any extra fees or damages.
Use of the hotelaat+.com website is subject to your acceptance of Our terms and conditions. If You do not accept these Terms and Conditions, you must refrain from using the website.
